Voice bot for business: what it does, what it costs, examples
What a voice bot for business does on inbound and outbound calls, what launch and minutes cost, and how a clinic cut missed calls by 30% with one.
A voice bot for business answers the phone instead of your front desk: it picks up instantly, books appointments, takes orders and calls customers back to confirm a booking or remind them of a visit. Modern voice bots run on AI, so they understand normal speech rather than just "press 1". Below we cover what a voice bot actually does, what launching and running one costs, and what results it delivered for a private clinic.
In short
- A voice AI bot handles inbound calls 24/7: it books, takes orders, answers common questions and hands complex calls to a person along with the caller's name and number.
- The same bot makes outbound calls: it confirms orders and bookings, sends visit reminders and calls a new lead within a minute.
- Development starts at €800 per scenario and launch takes 2-4 weeks. Telephony and model minutes are paid separately at cost.
- In our private clinic case the bot cut missed calls by 30%, and 94% of bookings made through the bot were successful.
- The bot connects to your existing number via SIP, so you keep your number.
How a voice AI bot differs from IVR and robocalls
Most customers have met two kinds of phone "robots". The first is IVR, a voice menu where you press digits. The second is a robocall, where the same recording plays to every number on a list. Both follow a rigid script and do not understand what the person says.
An AI voice bot holds a conversation. A caller says "I'd like a dentist appointment tomorrow, ideally in the afternoon", and the bot checks free slots in the calendar, offers options and confirms the booking. If a question falls outside the script, the bot does not make up an answer. It takes the caller's details and passes the call to a person.
| IVR menu | Robocall | Voice AI bot | |
|---|---|---|---|
| How the caller talks | Presses digits | Listens to a recording | Speaks normally |
| Bookings and orders | No, routing only | No | Yes, straight into the calendar or CRM |
| Reacts to answers | Digits only | No | Yes, clarifies and asks again |
| Handoff to a person | Into a queue | No | With name, number and the reason for the call |
What a voice bot does on inbound calls
- Answers instantly. No queue and no "all our operators are busy", at night and on weekends too.
- Books appointments and reservations. Checks free time in your calendar or booking system, confirms the booking and sends the customer an SMS.
- Takes orders. Understands how customers really name your products and records the order straight into your system.
- Answers common questions. Opening hours, address, prices, delivery terms, how to prepare for a procedure.
- Hands off to a person. Takes the name and number first, then transfers to staff or creates a request so the customer is not lost.
Every call is stored with a recording and a transcript, so you can see exactly what the bot said and how the customer replied. More on inbound calls on the voice AI agent page.
What a voice bot does on outbound calls
Outbound calls close the gaps between a request, a booking and a visit. That is where businesses often lose customers who were already ready to buy.
- Order and booking confirmations. The bot calls, checks the details and records the answer in your system.
- Visit reminders. The day before or a few hours ahead, with the option to reschedule on the spot.
- Calling a new lead within a minute. A customer leaves a request on your website, and the bot is already calling while they still remember what they wanted.
We describe how this works and which call campaigns are most common on the AI outbound calling page.
Does the bot understand mixed language, and will it put customers off?
Customers in Ukraine rarely speak textbook language. Some switch between Ukrainian and Russian mid-sentence, others use their own names for services and products. So before launch we listen to your real calls and build a dictionary of phrases and names for the bot. That way it understands mixed Ukrainian and Russian (surzhyk) and your internal product names.
The second question owners ask is whether a robot will annoy customers. Our bot honestly introduces itself as the company's assistant and never pretends to be human. What customers usually care about is that someone picked up straight away and solved their problem. If a caller asks for a real person, the bot transfers the call.
How much a voice bot for business costs
The cost has two parts: one-off development and monthly usage. We show both upfront so there are no surprises on the invoice.
| Item | When you pay | How much |
|---|---|---|
| Bot for one scenario: script, dictionary, integrations, tests, launch | Once | From €800 |
| Each additional scenario, for example outbound reminders | Once | From €800 |
| Telephony: number and carrier minutes | Monthly, at cost | Carrier rates |
| Model minutes: speech recognition, voice, AI | Monthly, at cost | Depends on call volume and length |
| Support and changes after launch | As needed | €60/hour or packages from €180/month |
You pay for telephony and model minutes at cost, with no markup from us. Development gets more expensive with more scenarios, integrations with telephony, CRM and booking systems, and outbound calling. All prices are listed on our services page.
Launching a voice bot takes 2-4 weeks: we listen to your calls, agree the script, test on a test number, then connect it to your line and review calls daily for the first weeks. Example: a voice bot for a private clinic
A private clinic was losing patients at peak hours: the line was busy, the receptionist was on another call, and the patient phoned a different clinic. We launched a voice AI agent that takes calls 24/7, checks free time in Google Calendar, books appointments and sends the patient an SMS confirmation.
- 30% fewer missed calls.
- 94% successful bookings through the bot.
- Bookings land in the clinic calendar immediately, with no manual re-entry.
The full story is in the clinic voice agent case, and other healthcare scenarios are on the AI for clinics page.
A voice bot works well alongside text channels. For example, our AI support agent for an online store handled 11,644 inquiries and resolved 41.5% of them without an operator (case). If your customers write more often than they call, it makes more sense to start with an AI support agent.
Who a voice bot suits, and who should wait
A voice bot pays off if:
- you get many calls and most questions repeat;
- calls go unanswered at peak hours, in the evening or on weekends;
- bookings or orders are currently written down by hand, with mistakes;
- website leads wait hours for a call back.
It is too early if you get a few calls a day and your receptionist keeps up, or if every conversation is unique and needs expert advice. In that case it is better to start with one narrow scenario, such as visit reminders.
FAQ
Do I need to change my phone number?
No. The bot connects to your existing number via SIP. We decide together, while writing the script, how calls are split between the bot and your staff.
How long does launch take?
2-4 weeks for a voice bot. Most of the time goes into reviewing real calls, the script and testing, not the technical connection.
What if the bot does not understand a caller?
The bot asks again. If it still does not understand, it takes the name and number and passes the call to a person. For the first weeks after launch we review calls daily and extend the dictionary.
How much does a minute of conversation cost?
It depends on your telephony provider, the chosen model and call length. You pay these costs at cost, and on the first call we will estimate a figure for your volume.
Can the bot connect to my CRM?
Yes. The outcome of every call goes into your CRM, booking system or Telegram: who called, what they wanted and how the conversation ended.
If you are losing calls or your front desk is overloaded with the same questions, we will show you a voice bot on your own scenario. The first call and the demo are free: talk to us about a voice AI agent.
