AI agents inside your CRM and ERP: what they do and what they cost

Oleh Marechko · October 17, 2026

Not a separate chatbot, but an agent inside your CRM or ERP: it qualifies leads, writes call summaries, processes orders from email and reconciles stock. Tasks, prices and cases.

AI agents inside your CRM and ERP: what they do and what they cost

In short

  • An AI agent in a CRM or ERP is not a separate chatbot but an assistant that works with your records, deals and orders directly.
  • In a CRM it qualifies leads, writes call summaries, fills in records and reminds about the next step. In an ERP it processes orders from email, creates documents and reconciles stock.
  • It works with KeyCRM, HubSpot, Pipedrive and with custom systems through their APIs. Your data stays in your system.
  • From €800 for an agent covering one process, a CRM implementation with an AI assistant from €3,300, an ERP module with an agent from €5,000.
  • In our cases: 2.4x qualified leads and +55% demo bookings in SaaS, 80% of emails handled without a manager in logistics, 41.5% of inquiries closed without an operator in e-commerce.

What an AI agent in a CRM is, in plain words

A regular chatbot lives in a messenger and knows nothing about your deals. An AI agent inside the CRM sees the client record, the history and the deal stage, and acts in the system: creates a lead, moves the deal to the next stage, assigns a task to the manager. For the team it looks like one more colleague appeared in the CRM, one who does not sleep and does not forget.

This is different from the "AI in CRM" that vendors promise in their pricing tiers: built-in features usually draft emails or suggest a next step. The agent we build does the work rather than advising.

Six jobs for an AI agent in a CRM

  1. Lead qualification. The agent asks the customer 3 to 5 clarifying questions in chat or a messenger, scores the lead against your criteria and hands only the hot ones to a manager. In our SaaS case this produced 2.4x qualified leads and +55% demo bookings.
  2. Call summary into the record. After a call via your telephony, the agent writes down what was agreed and sets a dated task. The manager no longer types notes by hand.
  3. Replies outside working hours. Questions about prices, timelines and order status the agent closes itself from the knowledge base, and hands complex ones to a person in the morning with full context.
  4. Filling in records. Contact, company, source, request: the agent extracts these from the conversation and fills the fields, so pipeline reports stop being empty.
  5. Next-step reminders. If a deal sits longer than normal, the agent messages the manager in Telegram with a short summary and a suggested action.
  6. Repeat sales. The agent finds clients due for renewal or a reorder and starts the conversation or creates a task.

Five jobs for an AI agent in an ERP

  1. Orders from email and messengers. The agent reads the message, extracts products, quantities, address and dates and creates the order in the system. The operator only confirms. In our fashion case that meant 4 fewer hours of manual work a day at 99.2% accuracy.
  2. Documents. Invoice, delivery note and waybill are generated from the order in the right format with the right details.
  3. Stock reconciliation. The agent compares stock in the warehouse, on the website and on marketplaces and flags mismatches before a customer orders something that is not there.
  4. Anomalies. An unusually large order, a new address for a regular client, an overdue payment: the agent notices and raises it to a person.
  5. Status requests. "Where is my order" and "when do you ship" the agent answers itself from ERP data. In our logistics case such an agent handled 80% of emails without a manager and saved 3 hours a day.

How the agent connects to your system

For KeyCRM, HubSpot and Pipedrive we use their official APIs: the agent reads and writes the same fields as the managers, with restricted access rights. In a custom CRM or ERP the agent is part of the system from day one, which is usually simpler than embedding it into a packaged product. Orchestration between systems runs on n8n, so the agent can live on your own server if the data is sensitive.

What we do not do: give the agent full access to everything. It sees only the fields and actions agreed in the script, and every action is logged in the record. That matters for security and for the team to trust the result.

What an AI agent in a CRM or ERP costs

ScenarioWhat is includedTimelineBudget
Agent for one process in your existing CRMScript, knowledge base, CRM integration via API, tests, launch1-2 weeksfrom €800
CRM implementation with an AI assistantCRM selection and setup, integrations, migration, training plus a qualification agent4-6 weeksfrom €3,300
ERP module with an agentFirst module (orders and inventory) with an order and document processing agentfrom 6 weeksfrom €5,000

Language model tokens are paid separately at cost, usually tens of euros a month for a small business. Full agent pricing is in how much an AI agent costs, CRM implementation pricing in how much CRM implementation costs.

When you do not need an agent in your CRM

If you get up to 30 leads a month and they are all different, an agent will not pay off: a well-configured CRM with auto-tasks is cheaper. The same if your sales process is not described yet: the agent has nothing to execute. In those cases we say honestly to start with CRM implementation without AI and add the agent once a repetitive flow appears.

FAQ

Does the agent work with KeyCRM?

Yes, through the KeyCRM API: the agent reads orders and clients, creates tasks, comments and new orders. The same applies to HubSpot and Pipedrive.

Does the agent see all our data?

No, only the agreed fields and actions. Every action is logged in the record, and for sensitive data the agent and knowledge base can run on your server.

How long until the first result?

An agent for one process in an existing CRM goes live in 1-2 weeks. For the first two weeks after launch we review its actions with you daily.

Will the agent replace a manager?

No, it takes the routine: data entry, summaries, typical replies, reminders. The manager runs deals and complex cases, and does it faster because the records are filled in.
