What the price is made of

When a business asks "how much does a CRM cost", it usually means three different things. Separate them from the start, otherwise quotes from different vendors cannot be compared.

What the base implementation from $1,500 includes

The base scope is designed so that managers stop tracking clients in spreadsheets and messengers, and every lead lands in one place.

  1. System selection. KeyCRM, Kommo, HubSpot or Pipedrive: chosen by your process and budget, not by ads.
  2. Pipeline and automation. Deal stages, fields, auto-tasks, reminders, message templates.
  3. 2-3 integrations. Most often the website form, Telegram or Instagram, and telephony.
  4. Data migration. Clients and deals from spreadsheets or the old CRM without losses.
  5. Team training. Live sessions for managers and the owner, plus guides written for your process.
  6. Launch support. We stay with you until managers run everything in the CRM on their own.

What makes the price grow

The budget grows not with the number of managers, but with how many systems need connecting and how non-standard your process is.

1. Number of channels and integrations

Every new system is a separate connection, tests and error handling. The website and Telegram connect quickly. IP telephony, Nova Poshta, Checkbox, payment providers and exchange with 1C or BAS take more time.

2. Volume of data to migrate

One tidy client spreadsheet moves in a day. Several years of history from an old CRM with duplicates and mixed formats need cleaning and reconciliation.

3. AI assistant and custom logic

An agent that qualifies leads at night and writes a summary into the record is a separate project from $800. The same goes for automatic statuses, calculations or complex access rules that standard CRM settings do not cover.

For standard sales a ready-made CRM is faster and cheaper. Custom development pays off where a ready-made one needs workarounds.

How to avoid overpaying: a checklist before you order

Businesses usually overpay not for the setup, but for rework. Before the start, get answers to these questions.

  • Where do leads come from today, and how many per month?
  • Which stages does a deal go through from lead to sale?
  • Who will work in the CRM, and what should each person see?
  • Which systems must be connected first, and which can wait?
  • Which report does the owner want to see every Monday?
  • Where does client data live now, and in what state is it?

And three rules. Start with one pipeline and the main channels, add the rest in stages. Register the CRM account to your company, not to the contractor. Ask for a description of the setup so another team can continue the work.

How long implementation takes

Usually 2-4 weeks from the first call to launch, and you see the first leads in the CRM in the first week.

FAQ

Is the CRM licence included in the implementation cost?

No. You buy the licence directly from the vendor at its rate, and the account belongs to your company. We only get access for the duration of the setup.

Can we start small?

Yes. First one pipeline and the main channels, then we add integrations and an AI assistant in stages. Each stage has its own scope and timeline.

What if managers do not use the CRM?

Usually they do not because everything has to be done by hand. So we remove the manual steps: leads come in on their own, tasks are created on their own, calls are logged on their own. The manager only moves the deal forward.

Will the system depend on you after launch?

No. The account and data are yours, the setup is documented, and n8n automations are backed up to GitHub. You can continue on your own or with any other contractor.
